CALENDAR ENTRY CONTRACT

 

A retainer is a fee paid for a pre-determined amount of time or work. Most commonly, a percentage of a retainer is paid up-front for a specified number of hours or days of work within a time period. A retainer benefits both Thy Word Public Relations and client. For a Thy Word, a retainer is a safety net, a guaranteed amount of income over time. For this monthly security, Thy Word Public Relations charges between $50.00-$150.00 per month, flat fee for calendar entries. Contracts are for a period of 6 - 12 months, and billed out monthly – Thy Word is paid a monthly fee, in advance. Thy Word bills the client for work.

 

Scope of Work

Thy Word Public Relations intends to provide consultancy services on a retainer basis. An estimated average of 4.5 hours is required quarterly. The scope of work may include but is not necessarily limited to: Communications materials: online and print media: (Expected Deliverables: 50 INDIVIDUAL pieces per year, no more than 4 pieces per month). To produce and/or edit high quality printed communications materials that meet the public relations and outreach objectives [calendar entries – no photos, less than 4” of copy]. To advise on strategy and approach in response to new opportunities and crisis outbreak. Thy Word shall provide an evaluation methodology on the success of the program/activities, such as monthly updates on progress of PR retainer program. 

Service Period

The service period is usually 6 months - 1 year. The contract may be extended for one additional one-year period after that without creating a new contract; this contract may be reprinted, and resigned by the client and Thy Word Public Relations. Thy Word Public Relations reserves the right with no penalty to change the budget and services may be added or deleted as necessary.

 

 

PER-PIECE PRESS RELEASE

CONTRACT

 

Press Release Contract (Commercial clients must choose non-profit contribution or specify participation in non-profit fundraiser prior to 1st draft of any and all publicity).

 

Meet with client at the place of their choosing (1 hour), interview and write (1) release. Initial consultation is free of charge, yet all subsequent are subject to customary hourly billing (including, in person, phone and e-mail consultations). Make additional edits after distribution. Coordinate photo (from your files via e-mail; high resolution 300dpi or above for Media. Review with client and edit to final version for distribution (via e-mail). Additional photos may be provided at the hourly rate of $85.00 per hour.  Client will be provided a disk of photos to keep for his or her records.  Select photos and send with completed release to publications and post on yourhub.com. Distribution to local Media, (i.e., newspapers, radio, television as applicable). Service to include tracking of clips (in local print and online media) and advertising equivalency report at the end of each month that the account is open with the invoice.

 

 

 

RETAINER CONTRACT

A retainer benefits both Thy Word Public Relations and client. For a Thy Word, a retainer is a safety net, a guaranteed amount of income over time. For this monthly security, Thy Word Public Relations charges between $50.00-$110.00 per hour. Contracts are for a period of 12 months, and time is billed out monthly – Thy Word is paid a monthly fee, in advance, for a certain numbers of hours worked. Thy Word tracks hours and bills the client for work beyond the amount agreed upon, either at the same discount or a full rate. If the Thy Word works less than the agreed amount, that time can be rolled over or lost. The online tool used for tracking time is http://www.myhours.com/ This tool allows Thy Word and the client to track who worked how much time on what action. It also calculates in real time how this work has affected your budget.

Scope of Work

 Thy Word Public Relations intends to provide consultancy services on a retainer basis. An estimated minimum of 60 hours is required quarterly. The scope of work may include but is not necessarily limited to:

(1) Media interviews / meetings: (Expected Deliverables: 20 per year). To secure media opportunities and face-to-face meetings/luncheons to communicate key messages as well as building good relationship with the media.

(2) Case study and byline articles: (Expected Deliverables: 4 per year). To identify and line-up target media for interviews or article placement.

(3) Media relations and office: (Deliverables: ongoing plus monthly coverage reports). To provide daily news monitoring services for coverage relating to client, and competitors on the Treasure Coast. To recommend media format and target media groups that best reach the client’s specific goals.

(4) Communications materials (statement, speech, press release, etc): (Expected Deliverables: 4 pieces per year). To produce and/or edit high quality printed and broadcasted communications materials that meet the public relations and outreach objectives.

(5) Strategic counsel: (Deliverables: ongoing plus quarterly review reports). To develop communications concepts and messages based on sound marketing, communications principles and/or market knowledge. To advise on strategy and approach in response to new opportunities and crisis outbreak.

Thy Word shall provide an evaluation methodology on the success of the program/activities, such as monthly updates on progress of PR retainer program.

Fee Arrangements

The flat monthly rate for the service, is due and payable on the 1st of each month. To ensure mutual relationship starts off well, the method of billing, hourly rates for additional services, third-party costs, out-of-pocket expenses and markup/commission percentages, as well as payment terms and any interest charges for late payment is fully detailed in the "hard-copy" (word.doc) of the individual service/client.
